AI receptionist for dental practices

The call gets answered.
Your team gets the next step.

A clinic-trained virtual receptionist for overflow and after-hours calls. It speaks naturally, handles routine front-desk questions, captures appointment requests and sends a clear outcome to the office.

Works with your existing phone number. Your team still gets the first chance to answer.

How it works

The front desk stays first in line.

Keep the number patients already know. Conditional forwarding gives your team time to answer, then routes only the calls they miss.

01

Your phone rings normally

Staff answer as usual. The receptionist is the overflow path, not a replacement switchboard.

02

The assistant picks up

After the chosen ring count or outside office hours, it introduces itself as the clinic’s virtual assistant.

03

The caller gets help

It answers clinic questions, captures an appointment request or message, and flags urgent situations for staff.

04

The office gets the outcome

A tagged email arrives with the reason, callback details and requested timing—ready for a human to act on.

What it handles

A full front-desk overflow layer.

Each practice gets its own voice, hours, services, staff details, coverage language and escalation rules. The same product adapts without forking the system.

01

Natural phone conversations

Short spoken replies, one question at a time, caller interruption support and recovery when the line goes quiet.

02

Appointment requests

Captures the caller’s name, reason, preferred days and times, then confirms the office will choose the exact slot.

03

Caller-aware callbacks

Uses caller ID when available and confirms the last four digits instead of making every patient recite a phone number.

04

Clinic questions

Answers from approved information about hours, holidays, address, services, team members, insurance and CDCP coverage.

05

Messages and urgent flags

Takes structured messages, recognizes situations that need staff attention and gives emergency guidance without diagnosing.

06

After-call handoff

Classifies the outcome and emails the practice immediately, with delivery visibility in a clinic-specific dashboard.

07

Optional text follow-up

Can send a missed-call response or an approved self-booking link and forward inbound texts to the office once carrier registration is enabled.

08

Multi-location operation

Routes each number to the right clinic configuration, voice, inbox and dashboard while keeping practice data separated.

For the office

No new queue to babysit.

The practice inbox remains the working record. The dashboard gives owners a read-only view of recent calls, minutes, summary delivery and the exact clinic information the assistant uses.

  • Outcome-tagged email after every real conversation
  • Call volume and minute visibility from the phone provider
  • Read-only review of hours, services, staff and coverage wording
  • Separate views and delivery rules for each practice

Privacy by design

Collect less. Explain more.

The receptionist is designed as an operational overflow tool, not a clinical record system. It is explicit about being virtual and keeps the information request narrow.

Privacy-by-design product; not marketed as a certified clinical or PHI system.

Clear disclosure

The first greeting says it is a virtual assistant. A transcription notice is spoken before personal details are collected.

No call recording

Call recording is disabled. The live conversation is processed in memory and the product does not maintain its own transcript database.

Minimum necessary details

The default flow asks for a full name, callback number, reason and timing—not health history, policy numbers, date of birth or payment details.

Guarded failure paths

Unknown clinic numbers fail closed, paid calls have time limits, and silence, abuse and off-topic conversations have defined exits.

Practice management systems

PMS platforms we support.

The core receptionist works without PMS access. Practices that want live availability, patient matching or appointment write-back can add a scoped integration for the platforms below.

31 supported platforms, with system-specific verification before launch.
01

Find openings

Read appointment slots, providers, operatories and appointment types from the practice system.

02

Match or create a patient

Look up the caller before a write and create the minimum patient record only when the workflow requires it.

03

Write the appointment

Create the requested appointment and track whether the PMS accepted, queued or rejected the write.

PMS connectivity is a paid add-on, not a blanket implementation promise. Read, availability, cancellation and write-back behaviour can vary by system, version and clinic setup. We verify the exact workflow before it enters a proposal.

Questions

What practices ask before a walkthrough.

Does this replace the front desk?

No. It is designed for calls the team cannot answer—after the chosen ring count, during busy periods or outside office hours. Staff keep control of the primary line and every confirmed appointment.

Does the caller know it is AI?

Yes. The assistant introduces itself as the clinic’s virtual assistant in the first greeting and gives the transcription notice before it asks for personal details.

Can it book directly into our PMS?

The standard setup captures preferences for staff to confirm. Direct availability and write-back can be scoped as a PMS add-on after the exact system, version and workflow are verified.

What happens if the integration is unavailable?

The safe fallback is always to capture the request and send it to the office. A broken connector should never turn a caller into a lost lead.

Can every location sound different?

Yes. Each location can have its own assistant name, voice, tone, hours, services, holidays, team details, phone routing and destination inboxes.
